    Avoid known company deadlines and blackout periods before sending the poll. Start with several weeks to leave room for leave, client commitments, and travel.

  2. Protect travel and working time

    Weekdays are selected by default. Add arrival and departure days to the duration if travel means teammates need those days free too.

  3. Get answers from the whole team

    Create the poll and share it with attendees. Review missing responses and check essential attendees before committing to a venue or announcing the final dates.

The example ranks a window by how many people can attend every day. It gives each person equal weight. If a facilitator or a particular team must be present, review their response explicitly before making your final choice.
