  1. Start with a travel window

    Choose the earliest departure and latest return your group would consider. Include school breaks or holiday weekends if those matter to your travelers.

  2. Count the full days away

    Set a consecutive-day duration that includes travel. A Friday-to-Monday trip needs four calendar days, even if you stay only three nights.

  3. Collect conflicts before booking

    Create a poll and share its link in your group chat. Compare the results after everyone has responded, then confirm dates before paying for accommodation.

A free weekend and a free trip are different things.

One open Saturday is not enough for a four-day getaway. The example below checks every day of each possible trip against each person’s conflicts. Someone only counts as available if they can attend the whole trip. Extend the range when no option fits everyone.

Does this planner book travel?

No. It helps you choose dates and collect group availability. Flights, accommodation, budgets, and bookings are separate decisions.

How should we handle overnight travel?

Include every calendar day that travel makes unavailable. For example, add the departure day for an overnight flight and the return day if people cannot attend other plans that day.

What if no dates work for everyone?

Try fewer days or a wider travel window. Compare the best options, then ask affected travelers whether their conflicts are flexible before you finalize.
